Who controls your information?

Beatrice Baila, a sole trader trading as Fun Science Studios, is the data controller responsible for deciding how and why personal information is used.

When this policy applies

This policy applies to personal information collected through our website, online shop, booking platforms, forms, email, telephone, social media, invoices and face-to-face communications.

It also applies to information supplied by parents, carers, schools, nurseries, organisations, party customers and event organisers.

Customer and contact information

This may include your name, postal or billing address, email address, telephone number, organisation, job role and preferred method of contact.

Booking information

We may collect a child’s name, age, date of birth where relevant, workshop attendance, birthday information and the name of their responsible parent or carer.

Support and safety information

Order and transaction information

This may include items ordered, personalisation details, delivery address, voucher information, payment status, transaction reference and refund information.

Full card details are processed by the payment provider and are not normally visible to or stored directly by Fun Science Studios.

We may retain emails, messages, form submissions, telephone notes, complaints, feedback and correspondence connected with a booking or order.

Website information

Depending on your cookie choices, we may receive information such as IP address, browser type, device information, pages visited, interactions and approximate location.

Images and videos

Parents and carers

Parents and carers normally provide information concerning their child.

A school, nursery, organisation, party customer or event organiser may provide participant information needed to prepare and safely deliver an activity.

Online platforms

We may receive information through Shopify, Bookwhen, payment providers, email services, social media platforms and other services used to manage bookings and orders.

  • payment and banking providers;
  • Google services, including Gmail and cloud tools;
  • website hosting, analytics and technology providers;
  • Evri or another agreed delivery provider;
  • accountants, insurers and professional advisers;
  • venues, assistants and suppliers involved in a booking;
  • Facebook, Instagram and other communication platforms.

Schools, venues and event organisers

Information may be shared where necessary to coordinate an activity, meet venue requirements, support a participant or respond to a safety matter.

Legal and regulatory disclosure

We may disclose information where required by law, court order, law enforcement, safeguarding responsibilities, tax authorities, insurers or another competent authority.

Business changes

If Fun Science Studios is sold, transferred or reorganised, relevant business records may be disclosed to professional advisers and a prospective or new owner, subject to suitable confidentiality and legal protections.

No sale of personal information

We do not sell or rent personal information to advertisers, data brokers or unrelated organisations.

Email marketing

We may send news, workshop announcements and offers where you have consented or where another lawful marketing permission applies.

You may unsubscribe through the link in a marketing email or by contacting us.

Service messages

Messages needed to administer a booking, order, payment, cancellation or safety matter are not marketing and may still be sent when necessary.

Social media

When you contact or interact with us through a social media platform, that platform may separately process information under its own privacy terms.

Photographs and videos

We do not rely on a general booking acceptance as consent to publish an identifiable image of a child.

Where photographs or video may be used for our website, social media or promotional material, separate consent or clear event-specific photography information will be provided.

Withdrawing photography consent

You may contact us to withdraw consent for future use.

We will take reasonable steps to remove images from places we control, although we may not be able to retrieve material already printed, lawfully shared or copied by others.

10 How long we keep information

Our general approach

We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected, including legal, accounting, insurance and complaint requirements.

Enquiries that do not become bookings

Routine enquiry records are normally retained for up to 12 months after the last meaningful contact, unless there is a reason to keep them longer.

Booking and order records

Core booking, invoice, payment and order information may be retained for the period required for accounting, tax, contractual, insurance and legal purposes.

Tax and accounting information

Records connected with business income, expenses and transactions are kept for at least the period required by HM Revenue & Customs.

Children’s operational information

Routine attendance, allergy and support information is reviewed after the activity and is normally deleted or reduced when it is no longer needed.

It may be retained longer where there is a repeat booking, incident, complaint, safeguarding concern, insurance matter or legal requirement.

Marketing records

Marketing contact details are normally retained until you unsubscribe, withdraw consent or they are removed following our periodic reviews.

We may retain a minimal suppression record so that we remember not to send further marketing.

Photographs and videos

Promotional images are periodically reviewed and retained only while they remain appropriate, relevant and covered by a valid basis for use.

Complaints and incidents

Records relating to a complaint, accident, dispute or insurance matter may be retained for as long as reasonably necessary to investigate, respond to and establish or defend legal rights.

Secure deletion

When information is no longer required, it is deleted, anonymised or securely destroyed where reasonably possible.
